Floor plans are the bread and butter of any major event. Whether you are trying to cram a lot of individual booths into a small space or mapping the layout for a massive convention center, you can’t have an event without some way to map where everything is going to be.

Unfortunately, it is not always as simple as drawing a little plan in a notebook or mentally mapping out where different tables and chairs need to be placed. But how do you actually create and manage a floor plan for an event, and what are the best practices you should use to keep everything running smoothly?

There are a few basic questions you should ask yourself before you ever even start to lay out a floor plan:

1. What is the purpose of the event?

What is the point of the event, and how big is the venue that you have chosen to host it? If you’re considering outdoor venues, factors like weather conditions, seating arrangements, and power supply become crucial elements in your floor plan.

If you are planning a trade show or convention, then you will probably need space for a lot of different booths that do not overlap or block one another. However, if you are hosting a conference focused on a central stage, the floor plan will probably be much less complicated and involve more seating than booths.

6. How will you accommodate wheelchair accessibility and people with mobility issues?
